Rental Policy

Adair Rentals – Delivery, Decor & Rental Policy

Thank you for choosing Adair Rentals for your event decor and rental needs. To ensure seamless service and a successful event, we kindly ask that all clients review and adhere to the following policies:

1. Supervision Policy (Mandatory)
An Adair Rentals staff member will be present on-site for the duration of your event. This team member is included in your rental fee and is non-negotiable. Their role is to:

  • Supervise and manage all Adair Rentals items.

  • Ensure proper use and care of furniture and decor.

  • Act as a point of contact for any rental-related concerns during the event.

This ensures the integrity of our inventory and allows for immediate assistance if any issues arise.

2. Delivery & Pickup

  • Delivery fees are based on location, accessibility, and time frame.

  • Client or authorized representative must be present at the time of delivery and pickup to verify inventory and sign off.

  • All items must be clean, undamaged, and packed as delivered at pickup time.
     

3. Setup & Breakdown

  • Setup and breakdown of rental items will be included in your quote.

  • Complex installations or decor items requiring additional time or labor may incur additional fees.

  • Setup does not include coordination of third-party vendor equipment unless previously agreed upon.
     

4. Damage & Liability

  • Clients are responsible for all rental items from the time of delivery until the time of pickup.

  • Any loss, theft, damage, burns, stains, or breakage will be charged at full replacement value.

  • A refundable damage deposit may be required depending on the scope of your rental.
     

5. Cancellations & Refunds

  • Cancellations made 7 days or more before your event will receive a 50% refund of the deposit. If customization exceeds the 50% refund , the excess will be deducted. 

  • Cancellations made less than 7 days before the event are non-refundable.

  • Rescheduling is subject to availability and may incur a fee.
     

6. Payment Terms

  • A 50% deposit is required to secure your date and inventory.

  • Final balance must be paid in full at least 7 business days prior to your event.

  • Payments must be made via bank transfer.
     

7. Decor Customizations

  • Custom decor requests must be confirmed and approved no later than 60 days - 14 days prior to the event depending on the scope of the event.

  • Any last-minute changes are subject to approval and availability, and may incur a rush fee.
     

8. Venue Accessibility

  • It is the client’s responsibility to ensure the venue is accessible (e.g., adequate parking, loading zones, elevator access if needed).

  • If access is restricted or requires additional labor or equipment (e.g., long carry distances, stairs), additional charges may apply.
     

9. Client Responsibilities

  • The client must ensure all rental items are kept dry, clean, and secured throughout the event.

  • All rentals must remain in the area where they were originally set up unless permission is granted by the on-site Adair Rentals team member.

  • Any third-party contractors or event planners must coordinate with Adair Rentals in advance to avoid miscommunication or mishandling of rental items.
